What Section 14 requires

Section 14 of the DPDP Act grants every data principal the right to have a grievance redressed. Every data fiduciary must establish a grievance redressal mechanism that is accessible to individuals whose personal data is processed. The mechanism must be clearly advertised — buried in a privacy policy footnote is not adequate.

The Rules will specify timelines for grievance resolution. Based on analogous Indian regulations (the Consumer Protection Act's 30-day resolution mandate, RBI's 30-day complaint resolution requirement), expect a 30-day window from receipt to resolution, with an acknowledgement within 48–72 hours. If the fiduciary fails to resolve a grievance within the prescribed period or the data principal is dissatisfied with the resolution, they may escalate to the Data Protection Board.

For Significant Data Fiduciaries, a Data Protection Officer (DPO) must be appointed, and the DPO's contact details published. The DPO serves as the first point of contact for grievances. For non-SDF companies, a named responsible person with decision-making authority over data protection matters should be designated even if not legally required — this demonstrates accountability and enables faster complaint resolution.

Building the mechanism: technical and organisational

At minimum, your grievance redressal mechanism needs: a dedicated email address or in-app form for data protection complaints, an auto-acknowledgement that confirms receipt and provides an estimated resolution timeline, a ticketing system to track complaints and their status, a documented escalation path for complaints that cannot be resolved at the first point of contact, and a record of all complaints received and their dispositions.

For AI-specific grievances, add capabilities to handle: complaints about AI-generated decisions that affected the user (loan rejection by an AI credit model, account suspension by AI fraud detection), complaints about AI processing without consent, and requests for information about what AI systems processed the user's data. These AI grievances require deeper technical investigation than standard data protection complaints.

Integrate the grievance mechanism with your audit trail. When a data principal files a complaint about AI processing, you should be able to pull all AI interactions for that user within minutes. This requires that your AI audit trail is indexed by user identifier and that the complaint handling team has read access to the audit system.

This checklist gives engineering and compliance teams a shared language for deciding what must be blocked, what can be allowed in shadow mode, and what needs human review before production release.

For AI systems, the review should include prompts, retrieved context, tool call arguments, model responses, logs, traces, analytics events, exports, and support attachments. Many incidents happen because teams scan only the visible form field while sensitive data moves through background context or observability tooling. The engineering control should run before data leaves the application boundary. Scan the full prompt package, not just the user's message. That means system instructions, retrieved snippets, tool outputs, attachments, OCR text, chat history, and structured JSON all need inspection. When a high-confidence identifier is found, redact, tokenise, block, or route to a safer model depending on the policy. Keep the original sensitive value out of general logs unless a protected exception is approved.

Audit evidence should be designed for reconstruction. A reviewer should be able to answer: when did the request happen, which application sent it, which data type was detected, which rule fired, what action was taken, which provider received the final payload, and who approved any exception. Without that trail, teams are left with policy claims rather than proof. With it, they can respond faster to buyer diligence, internal audits, breach triage, and regulator questions.

Finally, make the process repeatable. Add sample payloads to tests, run scheduled scans against logs and representative documents, check sitemap and page health for public guidance, and keep the DPDP scanner linked from the page so readers can move from learning to action.
